Summary

Job Purpose: This position is responsible for answering the safety emergency hotline and recording information related to all reported safety events. Responsible for coordinating emergency response during business hours and transitioning same to on call personnel after hours. Handle the reporting and communication of safety information with all aspects of Company operations. Maintain documentation associated with various safety processes. This position is responsible for coordination and maintenance of Safety Training programs and documentation of such.

Description

Essential Duties and Responsibilities:
• Coordinate and conduct new employee orientation
• Receive and work emergency calls on accidents, incidents, spills, cargo claims, on-the-job injuries, and motorist complaints.
• Ensure that all appropriate notifications are made to company personnel, customers, insurance company, and environmental contractor.
• Report, document and communicate safety data information.
• Create and maintain files for reported safety events.
• Process and file documentation when received from terminals and make appropriate entries into the TMW and Workday Training systems.
• Coordinate all necessary information/paperwork with the insurance company.
• Finalize each event after preventability has been determined by entering that information into the TMW Safety database and ensuring all documentation is in the corresponding electronic file.
• Code invoices for accidents and spills to ensure costs are related to appropriate event.
• Complete and file the federal Form 5800.1.
• Coordinate with the maintenance department and field personnel for documentation of damaged equipment estimates and repairs.
• Assist terminal and field personnel with safety and training related issues.
• Document and compile information on all roadside inspections, including processing any violations and paperwork required to prove the equipment was repaired.
• Perform data entry of roadside inspection information into the RSI database.
• Investigate discrepancies between the RSI database and the national CSA database concerning roadside inspection information.
• Coordinate payment of citations when the Company is responsible for the expense.
• Coordinate safe driving awards and bonus program and issue certificates when applicable.
• Assist with the preparation of items to be distributed at terminal safety banquets and President's Club gifts.
• Compile data and prepare presentations, spreadsheets, and/or reports for management.
• Scan, fax, and file documentation as required.
• Handle special projects and other duties as may be assigned.
• Regular sustained attendance, work from home determined by management
• All other duties as assigned

Additional Job Description

Education and Experience Requirements
• Bachelor’s degree or equivalent experience required.
• Experience and knowledge of DOT safety regulations beneficial.
• Ability to maintain confidentiality in daily operations. Ability to exercise sound judgment and to apply discretion in handling confidential information.

Additional Preferred Qualifications
• Passion for safety
• In depth understanding of e-based learning tools
• Working knowledge of DOT and OSHA regulations
• Experience in safety or related field
• Strong Technology and computer skills
