The Billing Settlements Specialist is responsible for processing customer invoices and driver pay, handling non-revenue pay, closing driver pay settlements, and communicating with other departments regarding drivers’ pay. This role involves collecting and verifying information from terminals, Smartsheet, and drivers’ paperwork to ensure accurate pay application.

Description

Essential Duties and Responsibilities include but are not limited to:

  • Process drivers’ trip pay, non-revenue pay, and exception pay.
  • Investigate and research non-revenue items, ensuring compliance with company policies before processing, and coordinating with other departments as necessary.
  • Process pay adjustments as required.
  • Maintain comprehensive knowledge of drivers’ pay policies, company operations, customers, products, and equipment.
  • Serve as a subject matter expert on drivers’ pay and salary exceptions.
  • Review and process delivery memos for invoicing and driver pay calculations.
  • Ensure all completed loads are invoiced and drivers are paid by reviewing daily orders ready for invoicing.
  • Respond to telephone and email inquiries concerning payroll matters.
  • Maintain detailed records of terminal pay information.
  • Create and maintain driver pay slips in TMW.
  • Update and maintain pay scales by terminal.
  • Communicate effectively with internal staff to train or improve invoicing and driver pay processes.
  • Perform other duties as assigned by management.

Additional Job Description

Education and Experience Requirements

  • High School diploma or equivalent.
  • Relevant education, training, and experience that demonstrates the knowledge, skills, and ability to effectively perform the functions of this position preferred.

Computer Equipment and Software Requirements

  • Proficiency in operating computer systems essential for job functions.
  • Proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
  • Experience with Delmos and TMW Billing Suite preferred

  • Strong written and verbal communication skills.
  • Excellent organizational skills with the ability to manage multiple tasks.
  • Ability to work efficiently in a fast-paced environment under tight deadlines.
  • Ability to maintain confidentiality in daily operations, exercising sound judgment and discretion in handling confidential information.
