The Benefits Coordinator is a key member of the Groendyke Benefits Team, responsible for administering employee benefits, managing leave programs, and ensuring OSHA compliance. Serving as the primary liaison between employees, third-party administrators (TPAs), and the Groendyke Talent Office (GTO), the Benefits Coordinator ensures compliance with company policies and regulations while providing exceptional support to employees navigating their benefits and leave options.

Description

Essential Duties and Responsibilities include but are not limited to

  • Act as the main point of contact for employees on group health, dental, vision, life insurance, retirement, and voluntary benefits, providing guidance and resolving inquiries.
  • Assist employees with enrollment, benefit changes, terminations, and interpretation of plan documents.
  • Maintain accurate benefits records in Workday and update carrier portals as needed.
  • Calculate benefits arrearages for Payroll, process refunds, and reconcile premium payments for personal payments and payroll deductions.
  • Mail benefit premium reminders to employees and communicate with employees and managers about finalizing enrollment events in Workday.
  • Process COBRA compliance and inquiries, ensuring timely responses.
  • Submit claims and Evidence of Insurability (EOI) forms to providers and follow through to resolution.
  • Access company phone directories and benefit provider contact information, claim forms, and booklets in Workday as needed.
  • Track and coordinate leave and disability programs, including FMLA, short-term disability (STD), long-term disability (LTD), ADA accommodations, and personal leave.
  • Collaborate with the Talent Office on return-to-work planning, including accommodations and status updates.
  • Prepare and submit OSHA reports, maintain injury and illness logs, and ensure compliance with reporting guidelines.
  • Respond promptly and professionally to employee inquiries via phone or email regarding benefits, leave, and related policies.
  • Communicate benefits updates, enrollment reminders, and leave-related notices to employees and terminal managers.
  • Conduct benefits education sessions during onboarding and open enrollment.
  • Ensure compliance with FMLA, ADA, HIPAA, ACA, COBRA, OSHA, and other applicable laws.
  • Prepare insurance-related reports, audit records for accuracy, and support internal reviews.
  • Scan, inspect, and index documentation, ensuring all records are accurate and compliant.
  • Manage mass mailings for the Benefits Department.
  • Assist with ad hoc projects and other duties as assigned for Benefits and GTO.

Qualifications/Requirements

Experience

  • 3-5 years of experience in benefits administration, leave management, or a related HR role.
  • Experience with HRIS systems; Workday experience preferred.

Skills and Competencies

  • Strong knowledge of employee benefits, leave programs, and compliance with laws such as FMLA, ADA, HIPAA, ACA, COBRA, and OSHA.
  • Excellent organizational skills and attention to detail.
  • Exceptional written and verbal communication skills, with the ability to explain complex information clearly.
  • Customer-focused mindset with the ability to build trust and maintain positive relationships.
  • Proficiency in Microsoft Office Suite, particularly Excel for reporting and data analysis.
  • Ability to handle sensitive and confidential information with discretion and professionalism.

Work Environment
