Role Overview:
The Administrative Assistant provides comprehensive operational, financial, and digital support for school organizations. This role serves as a versatile "floater," ensuring compliance with state regulations, managing organizational funds, and maintaining a professional digital presence for the district.

Financial Management & Compliance

  • Purchasing & Procurement: Process all non-athletic Purchase Orders (POs) and manage P-Card transactions in accordance with district policy.
  • Receipting & Auditing: Oversee "In-Touch" receipting processes and lead internal yearly audits to ensure financial transparency.
  • Fundraising Oversight: Coordinate and track fundraising efforts for all non-athletic student organizations.
  • Documentation: Organize OSSAA forms and maintain meticulous athletic and student records.

Event & Operations Support

  • Game Day Operations: Manage gate entry and execute pre-game preparations for various school sites.
  • Inventory Control: Assist with the tracking and management of district equipment and supplies.
  • Student Health & Safety: Help serve as a monitor for student drug testing protocols.
  • Operational Flexibility: Act as a "floater" to provide administrative coverage and support across departments as needed.

Digital Media & Sponsorships

  • Web & Social Media: Manage the official website and provide consistent support for social media platforms to engage the community.
  • Sponsor Relations: Execute sponsorship packages, including coordinating professional communication and assets for display on stadium video boards.
  • Technical Support: Serve as a point of contact for Rank One platform management and troubleshooting.

Key Qualifications

  • Strong organizational skills with an emphasis on record-keeping and financial accuracy.
  • Proficiency in digital platforms (Rank One, In-Touch, and CMS website tools).
  • Ability to work flexible hours for game-day operations.
